Responsibilities:

  • Greet clients, visitors, and guests, determine the purpose of their visit, and direct them to the appropriate location.
  • Answer, screen, and direct phone calls to the appropriate staff members, take messages, and schedule appointments.
  • Receive and distribute mail, documents, packages, and courier deliveries.
  • Support job management by entering weekly time card data for temporary workers and verifying completion of tasks for billed projects.
  • Assist with billing for specific projects and set up new vendors in the system.
  • Schedule and coordinate projects with technicians, update the Technicians’ calendar, and communicate any project changes to the appropriate supervisors/managers.
  • Provide accounting support by entering vendor information, reconciling credit card receipts, and maintaining subcontractor files.
  • Assist with inventory management, including data entry and tracking.
  • Maintain cleanliness and organization of common areas, conference rooms, and office supplies.
  • Complete any other duties as assigned.

 

Qualifications:

  • Ability to execute administrative tasks with a focus on quality and attention to detail.
  • Advanced computer skills, particularly in Microsoft Office.
  • Strong multitasking abilities in a fast-paced environment.
  • Excellent communication skills, both verbal and written.
  • Advanced organizational and prioritization skills.
  • Good active listening skills and ability to take direction.
  • Friendly and courteous when interacting with visitors and colleagues.
  • Ability to adapt to changes and work independently as well as part of a team.
  • Dependability and punctuality.

 

Salary: Based on experience

Expected Hours: 40 per week

To successfully perform the essential functions of this role it requires the ability to:

 

Stand and sit frequently, walk frequently, frequent use of hands (reach with hands and arms), view computer monitor, speak and hear on a frequent basis.  The role may require occasional lifting and/or moving up to 10 lbs.  Vision abilities required to include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
